Publication Ethics and Malpractice Statement

The Journal of Artificial Intelligence Systems (JAIS), published by Flux Academic, is committed to maintaining the highest standards of integrity, transparency, accountability, and ethical conduct throughout the scholarly publishing process. The journal expects all participants—including authors, reviewers, editors, editorial board members, and the publisher—to uphold the principles of responsible research and ethical publication.

This policy establishes the ethical responsibilities of all parties involved in the publication process and provides procedures for addressing allegations of research or publication misconduct. JAIS promotes fairness, academic independence, scientific rigor, and the preservation of the integrity of the scholarly record.

Fundamental Principles

The journal is committed to ensuring that all editorial decisions and publication activities are guided by the following principles:

• Editorial independence and impartiality.
• Transparency throughout the editorial process.
• Fair and unbiased peer review.
• Respect for confidentiality.
• Accountability of all participants.
• Correction of the scholarly record when necessary.

Responsibilities of Authors

Authors submitting manuscripts to JAIS are expected to adhere to the highest standards of scholarly conduct. Submission of a manuscript confirms that:

• The work is original and has not been published previously.
• The manuscript is not under consideration by another journal or publisher.
• All listed authors have made substantial scholarly contributions.
• All authors have reviewed and approved the submitted version.
• The research has been conducted ethically and responsibly.
• All data presented are accurate and have not been fabricated, falsified, or manipulated.
• Appropriate acknowledgement has been given to the work of others.
• Necessary permissions have been obtained for copyrighted material.

Originality and Plagiarism

Submitted manuscripts must represent original scholarly work. Any use of another person's ideas, data, text, figures, software, or other intellectual property must be properly cited.

The journal may screen submissions using plagiarism detection software. Manuscripts containing plagiarism, extensive unattributed overlap, duplicate publication, or inappropriate text recycling may be rejected without external review.

Duplicate and Redundant Publication

Authors must not submit substantially similar manuscripts simultaneously to multiple journals. Publication of substantially overlapping research without appropriate disclosure is considered unethical and may result in rejection, retraction, or notification of relevant institutions where appropriate.

Authorship

Authorship should accurately reflect scholarly contributions. Individuals listed as authors should have made significant contributions to the conception, design, execution, analysis, interpretation, or preparation of the manuscript.

Guest, honorary, or gift authorship is not permitted. Likewise, individuals who meet accepted authorship criteria should not be omitted.

Requests for authorship changes after submission require written agreement from all authors and approval by the editorial office.

Research Data Integrity

Authors are expected to maintain accurate research records and retain original data where appropriate. Editors may request supporting data during editorial assessment or following publication if questions arise regarding the reliability of published findings.

Authors are encouraged to share research data, source code, and supplementary materials whenever possible to improve transparency and reproducibility.

Artificial Intelligence and AI-Assisted Technologies

Given the scope of JAIS, the responsible use of artificial intelligence technologies is particularly important. Authors may use AI-assisted tools for language editing, grammar correction, coding assistance, or manuscript preparation provided that such use does not compromise scientific integrity.

Artificial intelligence systems cannot be credited as authors because they cannot assume responsibility, accountability, or ownership of published research. Human authors remain fully responsible for every aspect of the submitted work, including its originality, accuracy, ethical compliance, and scientific conclusions.

Where substantial AI assistance has been used in preparing a manuscript, authors should disclose its use appropriately within the manuscript or submission process where required by journal policy.

Human Participants and Animal Research

Research involving human participants, personal data, or animals must comply with applicable ethical standards and institutional requirements. Where relevant, manuscripts should include statements confirming approval from the appropriate ethics committee or institutional review board and confirmation that informed consent was obtained where required.

Conflicts of Interest

Authors, reviewers, editors, and editorial board members must disclose any financial, institutional, professional, or personal relationships that could reasonably influence the publication process or interpretation of research findings.

Where conflicts exist, appropriate measures will be taken to protect the integrity and impartiality of the editorial process.

Responsibilities of Editors

Editors are responsible for managing manuscripts fairly, confidentially, and objectively throughout the editorial process.

Editors shall:

• Evaluate manuscripts solely on scholarly merit.
• Maintain confidentiality throughout the review process.
• Avoid conflicts of interest.
• Select qualified and independent reviewers.
• Provide timely editorial decisions.
• Take appropriate action when ethical concerns arise.
• Correct the scholarly record whenever necessary.

Editorial decisions are independent of commercial interests, publication fees, institutional affiliations, nationality, gender, race, religion, or political beliefs.

Responsibilities of Reviewers

Peer reviewers contribute significantly to maintaining the scientific quality of the journal.

Reviewers are expected to:

• Provide objective and constructive evaluations.
• Maintain strict confidentiality.
• Decline review invitations where conflicts of interest exist.
• Complete reviews within the agreed timeframe.
• Identify ethical concerns, plagiarism, or substantial overlap with previously published work whenever possible.
• Support recommendations with clear academic justification.

Responsibilities of the Publisher

Flux Academic supports editorial independence and does not interfere with editorial decisions. The Publisher provides publishing infrastructure, production services, digital preservation, and dissemination while respecting the authority of the editorial team regarding manuscript evaluation and publication decisions.

Publication Misconduct

The journal investigates allegations of publication misconduct seriously and confidentially. Misconduct may include, but is not limited to:

• Plagiarism.
• Self-plagiarism.
• Data fabrication.
• Data falsification.
• Image manipulation.
• Citation manipulation.
• Peer-review manipulation.
• Undisclosed conflicts of interest.
• Inappropriate authorship practices.
• Duplicate or redundant publication.

Where concerns arise, the editorial office may request clarification, supporting documentation, institutional verification, or independent expert assessment before reaching a decision.

Corrections and Retractions

If errors or ethical concerns affecting the reliability of published work are identified, the journal will take appropriate action to preserve the integrity of the scholarly record.

Depending upon the circumstances, the journal may publish:

• Correction (Erratum or Corrigendum).
• Expression of Concern.
• Retraction.
• Article Removal where legally required.

Any correction or retraction notice will remain permanently linked to the original publication.

Appeals and Complaints

Authors may appeal editorial decisions by submitting a reasoned explanation supported by relevant evidence. Appeals are reviewed independently by the editorial leadership or another appropriate editor who was not directly involved in the original decision.

Complaints relating to editorial conduct, peer review, publication ethics, or journal procedures are handled fairly, confidentially, and without prejudice.

Confidentiality

All manuscripts, reviewer reports, editorial correspondence, and unpublished materials are treated as confidential. Information obtained during the editorial process must not be disclosed or used for personal advantage by authors, reviewers, editors, or editorial staff.

Continuous Review of Ethical Standards

JAIS periodically reviews its publication ethics policies to ensure continued alignment with internationally recognized best practices in scholarly publishing. Policy updates may be introduced as standards evolve to support research integrity, transparency, and responsible academic communication.
